What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

When you submit an enquiry through our website contact form or through a Facebook lead form, we collect your name, email address, phone number and any project details you provide. This information is used solely to respond to your enquiry and to send you relevant project updates from Andken Limited. We do not sell or share this data with third parties. You can request deletion of your data at any time by emailing info@andken.co.uk.

Cookies

If you leave a comment on our site you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

You can unsubscribe from these communications at any time by clicking the unsubscribe link in any email or by contacting us at info@andken.co.uk. We use Mailchimp to send these communications. Your email address is stored securely on their platform in accordance with their privacy policy.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Enquiry data submitted through our website or Facebook lead forms is retained for a maximum of 24 months. If you have not become a client within that period and have not engaged with any communications from us, your data is deleted. Client project data is retained for seven years in line with standard accounting and contractual obligations.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data

We use industry-standard security measures to protect your personal data from unauthorised access, loss or disclosure. Access to personal data is restricted to Andken team members who need it to carry out their work. All data is stored on password-protected systems. We do not store payment card information.

What data breach procedures we have in place

In the event of a data breach affecting personal data, we will notify affected individuals and the Information Commissioner’s Office (ICO) within 72 hours of becoming aware of the breach, in line with UK GDPR requirements.

What third parties we receive data from

We may receive data about you from Meta Platforms (Facebook and Instagram) when you interact with our ads or submit a lead form. We may also receive contact details passed to us by architects, designers or project managers who believe our services are relevant to a project you are commissioning.

What automated decision making and/or profiling we do with user data

We do not use automated decision making or profiling in any way that produces legal or similarly significant effects on individuals. Meta’s advertising platform may use your data to determine whether to show you our advertisements, but this is governed by Meta’s own privacy policy.

International data transfers

We use Mailchimp to send email communications. Mailchimp is based in the United States. Data transferred to Mailchimp is protected under the EU-US Data Privacy Framework and Mailchimp’s standard contractual clauses in accordance with their privacy policy at mailchimp.com/legal/privacy . We use Google Analytics and Meta Pixel, both of which may process data outside the UK. Each operates under appropriate safeguards in compliance with UK GDPR.

We may update this privacy notice from time to time. The current version will always be available at andken.co.uk/privacy-policy. Where changes are material we will notify you by email if we hold your contact details.
